LAUNCHING SOONVectis Vault

Pick up here. Drop off there. Vectis knows.

Smart key cabinets that are part of Vectis. Each key is released to the right person, for the right vehicle, at the right time. Return it to a Vault at any of your sites, and Vectis knows where the key and the vehicle are.

  • Vectis software end to end
  • Data stays in New Zealand and Australia
01The problem

The key is where fleet control breaks down

You can book a vehicle in seconds. Then someone has to find the key.

  • Lost keys

A missing key takes a vehicle off the road until someone finds it or pays for a new one.

  • Paper sign-out sheets

Half-filled, hard to read, and no help when you need to know who had a vehicle on Tuesday.

  • Keys taken home

The vehicle sits in the yard, booked by someone else, with its key in a jacket pocket across town.

  • Vehicles at the wrong site

One office runs short while another has cars no one needs, and someone drives one back.

  • No idea who had it last

A dent, an empty tank or a fine arrives, and the trail goes cold at the key hook.

Vectis Vault puts the key under the same control as the booking, the vehicle and the driver.

02One-way returns

Collect the key at one site. Return it at another.

Most key cabinets assume the key comes back to the cabinet it left from. Vault doesn't. A driver can pick up in Hamilton and drop off in Tauranga, and Vectis knows exactly where the key and the vehicle are.

If the key is in Tauranga but the vehicle is still in Hamilton, Vectis flags it to the fleet manager.

  1. Book

A driver books a vehicle from Site A, with the return set to Site B.

    Hamilton → Tauranga
  2. Collect

At the Site A Vault, they sign in with a staff card, PIN, face or fingerprint. Only the booked vehicle's slot unlocks and lights green. A photo is taken.

    Slot 14 · 08:12
  3. Drive

The vehicle's Vectis telematics tracker reports the trip live.

    In transit · live
  4. Return anywhere

At Site B, the key goes into any empty slot. The Vault reads its tag, locks it in and records the return.

    Slot 07 · 14:32
  5. Verified

Vectis checks the vehicle is parked inside the Site B geofence, closes the trip and moves it to Site B's pool, ready to book.

  • No more drives back to base

Staff stop spending hours, and fuel, returning vehicles to their home site just to put a key on a hook.

  • Key and vehicle, tracked as one

The cabinet and the telematics confirm each other. A key in the right place with the vehicle in the wrong place is caught, not missed.

  • A pool that rebalances itself

Vehicles end up where people need them, and each one is bookable from where it actually is.

03At the cabinet

Collecting a key takes seconds

The touchscreen runs Vectis, so it already knows the booking.

  1. 01Sign in

    Card, PIN, face or fingerprint.

  2. 02Booking found

Licence and induction checks run first.

  3. 03Slot 14 unlocks

Only that slot. Every other key stays locked.

    The cabinet photographs the collection.

  5. 05Done

The collection is in Vectis before the door closes.

04Features

Every key, under control

Key control

  • A lock and a reader in every slot. A key comes out only when Vectis releases it.
  • Any empty slot will do. Drivers don't hunt for “their” slot.
  • Lights that guide. Each slot's LED shows the right key, or an empty slot, at a glance.
  • Tamper-evident seals. Each tag is fixed to its key ring, so a swapped tag shows.
  • Wrong key? It knows. A wrong key or unknown tag is detected and reported.
  • Door-open, forced-entry and tamper alarms.

Who can take what

  • Sign in your way. Staff RFID card (MIFARE, DESFire, HID Prox or iCLASS), PIN, face or fingerprint.
  • Released against a booking. Or by role-based permission for authorised staff and managers.
  • A photo at every collection and return.
  • Licence and induction checks. If Vectis says a driver isn't cleared, the key stays put.
  • Breathalyser module.Optional For safety-critical fleets: no pass, no key.

Visibility and audit

  • Every key, every site, live. In the cabinet, out with a driver, overdue or in transit to another site.
  • A full audit trail. Who took which key, when and where, and where it came back.
  • Alerts that matter. Overdue keys, keys returned to the wrong place, doors left open and tamper events.
  • Utilisation by site. See which keys and vehicles are working, and where.

Built for NZ and Australian conditions

  • Works offline. If the network drops, staff still collect and return keys. Events sync when it's back.
  • Backup battery. Keeps the cabinet working through a power cut.
  • Ethernet, Wi-Fi and 4G. With NZ and AU network bands.
  • Built for NZ/AU electrical safety standards (RCM).
05For fleet managers

Every cabinet, on one screen

Vault is a screen in Vectis, next to bookings, vehicles and drivers. No separate login.

  • Who, when, whereEvery collection and return, with its photo, in the audit trail.
  • Alerts you setOverdue, wrong place, door open and tamper, sent to the right manager.
  • Utilisation by siteSpot the depot that needs more vehicles, or fewer.

06Data sovereignty and security

Your key data never leaves Vectis

Many imported key cabinets send every event through the manufacturer's overseas servers. Vault doesn't. The cabinet runs Vectis software and talks only to Vectis.

A typical imported cabinet

Vendor cloud

Events take a detour through servers you don't control, and keys live in a separate system from your vehicles.

Vectis Vault

No vendor cloud

The touchscreen app, the servers and the data are all Vectis, from the slot to the dashboard.

  • No vendor cloud

Nothing goes to a hardware maker's servers, here or overseas.

  • Stays in NZ and Australia

The cabinet talks only to Vectis, hosted in New Zealand and Australia.

  • One platform

Vehicles, keys, bookings and drivers together, with no separate key management login.

Questions

What happens if the network is down?

Vault keeps working offline. Staff can still collect and return keys, and every event syncs to Vectis when the connection is back.

And if the power goes out?

A backup battery keeps the cabinet working through power cuts.

Can a key go back in any slot?

Yes. Each slot reads the key's tag, so any empty slot will do, in any Vault at any of your sites. The slot lights show where there's space.

Does it work without Vectis telematics?

Yes. Vault records every collection and return on its own. One-way returns are verified most strongly when the vehicle has a Vectis tracker, because Vectis can then confirm the vehicle is parked at the site where its key was returned.

Where is the data stored?

In Vectis, hosted in New Zealand and Australia. The cabinet talks only to Vectis. Nothing goes to a hardware vendor's cloud.

Can we add more slots later?

Yes. A Vault Expansion adds 20 to 50 slots to any Vault.

How are keys tagged?

Each key ring gets an RFID tag, fixed with a tamper-evident security seal. If a seal is broken or an unknown tag turns up, it shows.

Do managers need another login?

No. Vault is part of Vectis, alongside your vehicles, bookings and drivers.

What if there is no empty slot at the drop off location?

Vectis know at the time of booking where the drop off location will be and intelligently manage the slot schedule to ensure there will be availability. Vectis will reserve a drop off slot for a threshold period knowing that it will become available during this time.
