Emails from Vectis

What Vectis emails look like, which ones you can turn off, and how password reset links work.

Every email Vectis sends, from booking reminders and compliance alerts to password resets and invoices, shares one look and one set of rules.

What a Vectis email looks like

Every email is built from the same design: the Vectis logo, a category label (such as Bookings, Compliance or Account), a status tag where relevant, a clear title, one main button, and a footer that explains why you received it.

  • Times are shown in your own timezone: your profile's timezone preference, or Pacific/Auckland if you haven't set one. Never UTC.
  • Links are full https:// addresses that work from any mail client.
  • Every email has a plain-text version as well as the HTML one, so it reads correctly in a text-only inbox.
  • Notification emails (bookings, compliance, alerts, digests and reminders) have a Manage notifications link in the footer.
  • Account and billing emails (password resets, invitations and billing notices) can't be turned off, so instead of a Manage notifications link, their footer states why you received the email.

Managing which notification emails you get

Notification emails, such as booking reminders, compliance alerts and digests, can be turned on or off. Account and billing emails always send, because they cover things like password resets and payment failures.

  1. Open notification settings

Select Manage notifications in the footer of the email, or go to Settings → Notifications in the Vectis web app.

  2. Turn off what you don't need

Turn the relevant event type or channel off.

Settings → Notifications applies to your whole organisation and is for administrators. To choose your own booking emails, open My Profile → Notifications & defaults.

Emails you can't turn off (password resets, invitations and billing) don't show a Manage notifications link. Their footer only explains why you received that email, for example "You're receiving this because Vectis support started a password reset for your account."

Password resets started by Vectis support

If Vectis support resets your password, you don't receive a temporary password. Instead:

  • You receive an email with a Set a new password button. It's marked as a support-initiated reset, in the Account category.
  • The link is single-use and expires 24 hours after it's sent.
  • Your current password keeps working until you use the link to set a new one.
  • All your active sessions are signed out straight away.

If the link says it's invalid, it has already been used or is more than 24 hours old. Ask Vectis support to send a fresh one.

Troubleshooting

SymptomLikely causeWhat to do
The Vectis logo doesn't load in an emailThe logo image couldn't be loaded. You see a styled text fallback ("Vectis Fleet Intelligence") instead, and the email still works.
A support password reset link says it's invalidIt has already been used once, or it's more than 24 hours old.Ask Vectis support for a new reset link.
Someone stopped getting booking or compliance emailsThey, or an administrator, turned that notification category off.Check Settings → Notifications and the person's My Profile → Notifications & defaults. Account and billing emails can't be turned off, so if one of those is missing, that's a delivery problem rather than a preference.
