Dashcam safety eventsBeta

Review dashcam events in the Safety Inbox, record coaching, dismiss false positives, and set scoring and alerts.

This page is for fleet managers. It covers the Safety Inbox, where dashcam events such as following too closely or phone use wait for you to look at them, and how to record what you did about each one.

For what the camera records and who can see it, see Dashcam video privacy. To fetch footage from a camera's memory card, see Dashcam footage and live view.

Overview

When a dashcam detects a safety event, it sends the event to Vectis, usually with a short clip or some snapshots. The event lands in the Safety Inbox.

You can:

  • watch the clip and check the context (map, speed, trip);
  • mark the event reviewed;
  • record the coaching you gave the driver;
  • dismiss it as a false positive, so it stops counting against the driver's score.

Every review is audited.

What you need

  • Permission to view telematics, to open the inbox.
  • Permission to manage telematics, to review events. Without it you can open an event, but the Review panel isn't shown.
  • Permission to view video clips (video.clips.view), to watch other drivers' clips and snapshots. Drivers see their own without it.
  • Permission to view in-cabin video (video.cabin.view), to see driver-facing files. Without it, the event page says how many in-cabin files are hidden.

Finding events that need review

  1. Open the Safety Inbox

    Go to Telematics → Safety Inbox.

  2. Check the list

    The inbox opens on events that are To review. Each row shows the time, event, vehicle, driver, whether it has clips or snapshots, and its review state.

  3. Filter

    Narrow the list with three filters:

    • Event: All dashcam events, or one type, such as phone use.
    • Level: Any level, or Level 2 only (the camera's more serious level).
    • Review: To review, Reviewed, Coached, Dismissed or All.
  4. Open an event

    Select a row to open the event.

You'll see "Nothing here" when no events match. With To review selected, it reads "Every dashcam event has been reviewed."

In the Media column, a camera icon with a number is the clips, and a picture icon is the snapshots. If there are none, it says Uploading… (the camera is still sending files), Not received (they never arrived) or None.

Reviewing an event

  1. Open the event

    Open the event from the inbox.

  2. Check the page

    • Clips and snapshots. Play each clip. Snapshots stay hidden until you select Show snapshot. Viewing is logged.
    • Speed. A graph of the vehicle's speed for a minute either side of the event. The red line marks the moment of the event.
    • Where. A map of the event's location.
    • View trip. Under the title, this link opens the trip the event happened on.
  3. Add a note

    In the Review panel, type a Note if you want one.

  4. Choose an outcome

    Select one of the three buttons described below.

You'll see a green message, such as "Marked reviewed.", and the panel shows who reviewed the event and when.

Mark it reviewed

Select Mark reviewed. A note is optional. Use this when you've seen the event and no coaching is needed.

Record coaching

  1. Write what you said or did in the Note box. A note is required.
  2. Select Record coaching.

The driver sees "Your fleet manager added coaching" and your note in the Vectis app.

Dismiss a false positive

  1. Write why the event was wrong in the Note box. A reason is required.
  2. Select Dismiss as false positive.

A dismissed event no longer counts against the driver's score. The dismissal, your reason and who did it are recorded in the audit log. The driver sees that the event was dismissed and doesn't count against them.

What the driver sees

In the Vectis app, under My driving, drivers see their own dashcam events with the clips and snapshots. Each event shows one of:

  • "Not reviewed yet";
  • "Reviewed by your fleet manager";
  • "Your fleet manager added coaching", with your note;
  • "Dismissed as a false positive: it doesn't count against your score".

Drivers don't see other drivers' events. Your notes on reviewed and dismissed events aren't shown to the driver; a coaching note is.

Changing scoring and alerts

Go to Settings → Driving safety. You need permission to view telematics to see it, and permission to manage telematics to change it.

Safety alerts

These choose which dashcam events alert system administrators and pool managers straight away. Drivers aren't alerted while they drive; they get one summary at the end of the day.

  1. Tick what should alert you: Level 2 events, Phone use, Fatigue, Collisions and rollovers.
  2. Choose how: Email, Push, or both.
  3. Set Quiet period per vehicle and event (minutes). This stops repeat alerts for the same thing.
  4. Set Warn when a cabin camera is covered for (minutes).
  5. Select Save alert settings.

You'll see "Alert settings saved."

Driver score weights

A driver's safety score starts at 100. Each event takes off its weight, before the severity multiplier.

  1. In the Driver score weights table, change the Weight for any event. The Default column shows the Vectis value. The arrow next to a changed weight puts it back.
  2. Select Save weights.

You'll see "Scoring weights saved." Weights can be from 0 to 50. Tampering events show on the scorecard but are never scored, so they have no weight to set.

Troubleshooting

What you seeWhat to do
"Add the coaching note."Coaching needs a note. Write it, then select Record coaching again. Your text is kept.
"Say why it's a false positive."Dismissal needs a reason. Write it, then try again.
"The note can be at most 2,000 characters."Shorten the note.
No Review panel on the event pageYou don't have permission to manage telematics. Ask an administrator.
"The camera is still uploading this event's files."Wait a few minutes and refresh. Events upload in the background.
"The camera's files for this event never arrived."The upload failed. You can request the footage instead; see Dashcam footage and live view.
"N in-cabin file(s) hidden: you don't have permission to view in-cabin video."In-cabin video needs its own permission (video.cabin.view). Ask an administrator if you should have it.
"No telematics around this time."The vehicle's tracker sent no speed data around the event, so there is no graph.
"Event not found."The event may have been deleted under your organisation's retention period.
