Classifying journeys

How entries are created from telematics, and how drivers and managers classify journeys as business, private or home to work.

An unclassified journey doesn't count towards the business use percentage until it is classified.

Entries created from telematics

When a vehicle has a telematics device, Vectis can create logbook entries from the trips it records. What happens depends on your organisation's automation mode:

ModeWhat happens when a trip ends
ManualNothing. No entry is created.
Confirm OnlyAn unclassified entry is created and the driver is notified.
Fully AutomaticAn entry is created and classified using geofence zones.

Trips shorter than your minimum distance or duration are ignored, and the same trip never creates two entries.

What the entry contains

  • start and end times;
  • start and end odometer readings from the device;
  • start and end GPS positions and the route;
  • the distance, from the odometer or GPS;
  • the vehicle linked to the device, and the driver (see below);
  • the source Telematics;
  • the journey type Unclassified, unless geofences classify it.

Which driver it's assigned to

Vectis looks for the driver in this order:

  1. the active booking for the vehicle at the time of the trip;
  2. the most recent check-out of the vehicle;
  3. the vehicle's primary or assigned driver, if one is set.

If none is found, the entry is flagged as unassigned for an administrator to review.

Automatic logbook periods

If a vehicle has no active logbook period when an entry is created, Vectis creates an active period for it, so coverage continues without anyone setting it up.

Classify in the mobile app

The classification queue lists the unclassified entries for your vehicles, each with the date and time, start and end locations, distance and a small map.

  • Swipe right for Business.
  • Swipe left for Private.
  • Long press for Home to Work.
  • Use Classify All as Business or Classify All as Private to do several at once.

The Logbook tab shows a badge with the number of unclassified entries. When a new entry is created from telematics, you get a push notification ("New journey detected — classify as business or private"). Tap it to open the queue.

Classify on the web

  1. Open Classify Journeys

    Go to Logbooks → Classify Journeys.

  2. Choose entries

    Review the unclassified entries and select one, or tick several.

  3. Classify them

    Choose Business, Private or Home to Work. For business journeys, enter the business purpose.

When unclassified entries exist, other logbook pages show a banner linking to Classify Journeys.

Automatic classification with geofences

With Fully Automatic mode, geofence zones classify entries:

ZoneClassified as
Business zone (depot, office or client site)Business
Private zonePrivate
Home zone (the driver's home address)Home to Work

Each classification has a confidence level:

LevelMeaning
HighBoth the start and end match known zones. Applied automatically.
MediumOne end matches. Queued for the driver to confirm.
LowNo zone matches. Queued for manual classification.
