Approving changes

How changes requested through an AI app become proposals, and how to apply or reject them in Vectis.

If your organisation has turned on Allow AI apps to propose changes, you can ask a connected AI app to make a change, for example "set vehicle ABC123 to In Service" or "create a booking for tomorrow morning". Nothing in Vectis changes yet: the AI app creates a proposal and shows you a preview.

Confirming in the AI app

  • If the AI app can ask you directly, it asks you to confirm. Accept and the change is applied straight away. Decline and the proposal is left pending, so you can still approve it later in Vectis.
  • If it can't ask you directly, as with Copilot Studio, it gives you a link to approve the change in Vectis.
  • Cancelling a booking, or any other destructive change, is never applied from inside the AI app. You always get an approval link.

Approving in Vectis

An approval link opens the proposal in Vectis, showing:

  • which AI app asked for it ("Requested by app name through the AI Connector")
  • a field-by-field preview of what will change, before and after
  • when the proposal expires
  • Apply and Reject buttons

Destructive proposals ask you to confirm again before they apply.

The change only happens when you select Apply. Your permissions are checked again at that moment, so if you have lost a permission since the proposal was made, applying it fails safely. Reject closes the proposal without changing anything.
