Map vehicles to ERP asset numbersNew

Tell Vectis each vehicle's asset number in your ERP, by hand, by pasting a column, by copying fleet numbers or by importing a file.

Your ERP identifies each vehicle by an asset number. Vectis sends readings only for vehicles that have one, so mapping is the step that decides what reaches your ERP. You need the Manage ERP connections permission to change mappings. People who can only view see the numbers but cannot edit them.

Mappings belong to one connection, so the same vehicle can have a different number in each ERP.

Open the asset mapping

Go to Settings → Integrations → ERP connections, open the connection and select the Asset mapping tab. The table lists each vehicle with its registration, make, model and VIN, its Fleet number, and its ERP asset number.

Use the filters above the table to narrow it:

FilterShows
AllEvery vehicle.
MappedVehicles with an asset number.
UnmappedVehicles with no asset number. Nothing is sent for them.
Refused by the ERPVehicles whose latest reading your ERP rejected.

The counts next to the filters show how many vehicles are in each. Search by registration, VIN or number.

Map vehicles by hand

  1. Type the asset number

Click the ERP asset number box on a vehicle's row and type the number. Edited boxes turn amber.

  2. Select Save changes

The button shows how many changes you have made. Vectis tells you how many links were added, changed and removed.

To remove a vehicle's number, clear the box and save.

Bulk edit by pasting a column

Copy a column of asset numbers from your spreadsheet, click the first ERP asset number box you want to fill and paste. The numbers fill that row and the rows below it in order, so sort and filter the table to match your spreadsheet first. Check the amber boxes, then select Save changes.

Copy fleet numbers

If your ERP uses the same numbers as your Fleet number field, select Copy fleet numbers. Vectis links each vehicle to its fleet number and tells you how many vehicles it linked.

Import from a file

For a large fleet, import the numbers from a file. You can reach the importer from the Import from a file button on the Asset mapping tab, or from Imports → ERP Asset Numbers.

  1. Choose the connection

Pick the ERP connection the numbers are for. If you have none, create one first.

  2. Prepare your file

Use a CSV or Excel file. Download the template to get the columns: registration, vin, fleet_number, external_asset_number and external_id. Identify each vehicle by registration, VIN or fleet number.

  3. Upload and check the preview

Upload the file. The preview is a dry run: it shows which rows matched a vehicle, which did not and which conflict. Nothing is saved yet.

  4. Import

If the preview has valid rows, select the Import button, which shows how many links it will add. Fix and re-upload the file if you would rather correct the problems first.

Conflicts and swaps

Vectis flags a mapping that would clash, for example an asset number already used by another vehicle on the same connection, or two vehicles swapping numbers. In the table the problem appears under the row. In an import it appears in the preview as a conflicting row. Resolve it, then save or import again.

Vehicles that are not sent

  • A vehicle with no asset number is listed under Unmapped and counted on the connection's status screen. It also appears in the daily digest.
  • A disposed or decommissioned vehicle keeps its number for history but is marked Not sent (disposed or decommissioned). It is not counted as unmapped and nothing is exported for it.

Troubleshooting

The Import button is greyed out

The preview has no valid rows, or no connection is selected. Check the preview messages and your column headings.

A vehicle shows a red message beside its number

Your ERP rejected the latest reading for that asset number, often because the number does not exist there. Correct the number and resend the reading from Delivery history. See Read the sync status screen and fix failures.
