Engine hoursNew

Where a vehicle's engine hours come from, how to record them on the web or in the mobile app, import them, and correct a wrong reading.

Engine hours are the running time shown on a vehicle's hour meter. They matter for plant, generators and other equipment that is serviced by hours rather than kilometres. Each vehicle's page has an Engine hours card showing the current figure and the history behind it. If you use an ERP connection, engine hours can be sent to your ERP on a schedule.

Where engine hours come from

Every reading says where it came from.

Source shownWhere it comes from
From the trackerThe tracker reports the hours itself.
From ignition timeVectis adds up the ignition-on time of each trip, starting from a reading you gave it. Use this when the tracker does not report hours.
EnteredSomeone typed it in on the web or in the mobile app.
ImportedIt came from an uploaded file.

A reading marked baseline is a starting point. Later trips add their ignition time to it.

Set starting hours

If a vehicle has no engine hours yet, the card shows Not set.

  1. Open the vehicle

Go to Vehicles and open the vehicle.

  2. Select Set starting hours

On the Engine hours card, select Set starting hours.

  3. Enter the reading

Type the Engine hours shown on the dash, check the Read at time, and enter a Reason, for example Read from the dash at service.

  4. Select Save

The card shows the new figure and the reading appears in the history.

You need permission to edit odometer readings to record or correct engine hours.

Record a reading on the web

On the Engine hours card, select Record or correct. To record an ordinary reading, untick the correction box and enter the hours and when you read them. An ordinary reading is accepted, unless it goes backwards or rises faster than the clock allows. In that case it is kept but held for review (see below).

Record a reading in the mobile app

  1. Open the vehicle

In the Vehicles tab, open the vehicle and open its actions.

  2. Select Record engine hours

The screen shows the last recorded hours.

  3. Key in the hour meter

Use the keypad to enter the whole hours from the dash, then select Record reading.

The app confirms Reading recorded. If the reading was held, it says Held for review and why, and a fleet manager will check it. Corrections and new starting points are made on the web, where a reason is required.

Import engine hours

Go to Imports → Engine Hours. Upload a CSV or Excel file with the columns registration, reading_date, engine_hours and notes. Rows are matched by registration. The preview shows the result before anything is saved. Readings that go backwards or rise faster than the clock are imported but held for review.

Readings held for review

A reading is held rather than accepted when it is lower than the one before it, or when it jumps by more than the time that has passed allows. A held reading shows a Held for review badge and a note saying why. A held reading is not sent to your ERP.

People who can edit readings see two buttons on it:

  • Accept if the reading is right.
  • Reject if it is a mistake. It stays in the history, marked Rejected.

Correct engine hours

If the current figure is wrong, or the hour meter was replaced:

  1. Select Record or correct

On the vehicle's Engine hours card.

  2. Enter the right hours

Type the figure from the dash and the time you read it.

  3. Leave the correction box ticked

The box reads: This is a correction or a new starting point (accepted as entered).

  4. Give a reason and save

A reason is required. It is kept with the reading in the history.

The corrected reading becomes the new baseline. Later trips build on it.

Troubleshooting

I cannot see the Record or correct button

You need permission to edit odometer readings. Ask an administrator.

My reading was held for review

It went backwards or rose faster than time allows. Check the figure on the dash. If it is right, a fleet manager can accept it from the vehicle's page, or you can record it as a correction.
