Inviting team members

Invite people to your organisation and choose their role.

You can invite people from Management → Users or from the Team page in My Account.

How to invite

From Users

  1. Open Users

Select Users in the sidebar under Management.

  2. Select Invite User

Enter the person's first name, last name and email address. Phone number and employee number are optional.

  3. Choose an initial role

Optionally pick an Initial Role. You can add more roles later from the person's page.

  4. Send the invitation

    Select Send Invitation.

From Team

  1. Open Team

Open the profile menu at the top right, select My Account, then Team.

  2. Select Invite Member

Enter the person's first name, last name and email address, and optionally a phone number.

  3. Choose a role

Pick a role. New members are Drivers unless you choose otherwise.

The Team page shows how many active members you have against your plan's limit. If you have reached it, upgrade your plan before inviting more people.

The person receives an invitation email with a link to set their password and activate their account. In organisations that use single sign-on, they can sign in with their identity provider instead.

Available roles

  • System Administrator: full access to all settings and features.
  • Pool Manager: manages vehicles and bookings for assigned pools.
  • Pool Officer: day-to-day booking operations.
  • Driver: can view and create bookings.

The Users page also offers Report Administrator (access to all reports and data exports) and Finance Administrator (financial registers, cost management and financial reports).

Changing a role or removing someone

On the Team page, change a member's role from the list, or select the remove button to deactivate their account. A removed member can no longer sign in. You can't remove yourself.

From Users, open the person's page to add or remove roles, or to deactivate or reactivate the account.

The link in the invitation email is time-limited, so ask the person to accept it promptly.
