Vehicle pools
Group vehicles by location or department, and control who can book them.
What are pools?
Pools group vehicles by location or department. Each pool can have its own administrators, approval rules and booking settings.
Creating a pool
Go to Pools under Fleet in the sidebar, select Create Pool, and set:
- the pool name, description and location;
- the timezone;
- whether bookings require approval;
- whether Vectis should auto-assign a vehicle to bookings.
Pool settings
Open a pool to see its Dashboard, Vehicles, Settings, Access Groups and Administrators tabs. The Settings tab groups the booking rules:
| Group | Settings |
|---|---|
| Booking Duration | Default and maximum booking duration. |
| Advance Booking | Minimum and maximum notice for a booking. |
| Booking Options | Provisional bookings, approval over a set duration, recurring bookings, auto-assigning a vehicle, requiring a destination and priority claims. |
| Prestart Inspection | Whether a prestart inspection is required. See Prestart inspections. |
| Check-in / Check-out | The check-in and check-out windows. |
| Overdue Notifications | When to send the first overdue notification after a booking ends, and when to escalate to the Pool Manager. |
Access groups
Use access groups to control which drivers can book vehicles in a pool. On the pool's Access Groups tab, create a named group, then add members to it.
Pool administrators
On the Administrators tab, assign Pool Manager or Pool Officer roles to the people who manage the pool.
