Troubleshooting logbooks and FBT
Fixes for common logbook and FBT problems.
The Operating Cost Method shows N/A
The vehicle has no validated logbook period. Create and validate a logbook period for it. The period needs classified entries to calculate the business use percentage.
The Statutory Method shows $0
The vehicle has no cost base. Open the vehicle's Financial tab and enter the cost base (purchase price or market value).
No logbook entries are created from telematics
Logbook automation is probably set to Manual. Go to Settings → Organisation and set Logbook Automation to Confirm Only or Fully Automatic.
Also check that:
- the trips are longer than your minimum trip distance and duration;
- the vehicle has a telematics device linked.
A logbook period shows 0% business use
All its entries are unclassified, and unclassified entries are left out of the calculation. Classify the entries as Business, Private or Home to Work.
I can't delete a logbook entry
Only manually created entries can be deleted. Entries from telematics and bookings are kept as an audit trail. You can still change their journey type.
I can't edit a logbook period
Only Draft periods can have their dates and notes changed. To change an Active or Validated period, expire it and create a new one.
A driver isn't getting classification notifications
Check that the driver has allowed notifications for the Vectis mobile app. Also check that the trip was assigned to the right driver; see which driver an entry is assigned to.
An odometer gaps warning appears
There are gaps in the odometer sequence between consecutive entries for a vehicle, which means some journeys weren't recorded. Add manual entries to fill the gaps, or, if you use automation, check the vehicle's telematics connection.
A period already exists for this vehicle
A vehicle can't have overlapping periods. Expire or delete the existing period before creating a new one.
My business purpose is flagged as too generic
The ATO requires specific descriptions, so words like "business", "work" or "meeting" on their own are flagged. Write what the journey was for, such as "Client consultation at Smith & Co, 45 George St, regarding fleet renewal contract" rather than "meeting at client". See Writing a business purpose.
