AI-assisted setup

New to Vectis? Instead of working through the setup wizard step by step, you can ask the Vectis Assistant to set your organisation up for you, conversationally, and as fast as you can describe what you need.

Starting AI setup

There are two ways to bring the assistant into your onboarding:

  1. Click Set up with AI on the setup wizard

Open the setup wizard and click the Set up with AI button in the banner at the top. This opens the Assistant panel with a request already filled in, asking it to walk through setup with you step by step.

  2. Or just ask the assistant directly

Open the Assistant panel at any time and describe what you want set up: for example, your organisation's timezone and currency, a pool, or your first few vehicles. You don't need to use the wizard's button to get started.

While the Assistant panel is open, the wizard's progress bar checks in every few seconds and also refreshes as soon as the assistant finishes replying, so you'll see steps tick off without needing to switch back and forth.

What to expect

During onboarding (while setup is still incomplete and hasn't been dismissed) the assistant applies the setup actions you ask for immediately, without stopping to show you an Apply/Reject card first. This is only the case when:

  • You're chatting as a System Administrator. That is, an org admin with the system settings permission. Anyone else asking the assistant to make onboarding changes still gets the normal approval card.
  • You're chatting live, in person. Scheduled or unattended assistant runs, and turns that come from an attachment, never auto-apply: those always go through the normal approval flow regardless of onboarding status.

Once onboarding is complete, or you dismiss it, the assistant goes back to the normal behaviour everywhere else in Vectis: it proposes a change and shows you an Apply/Reject card, and nothing happens until you approve it.

What the assistant can set up

Ask for any of the following, in whatever order suits you:

WhatDescription
Organisation settingsName, timezone, currency, locale, date format, distance unit, and contact details.
Notification preferencesConfigures which notifications your organisation receives.
PoolsCreates vehicle pools.
VehiclesAdds vehicles to your fleet. If you only have one pool, it's selected automatically.
Vehicle-to-pool assignmentAssigns existing vehicles to pools.
Team invitationsInvites team members and assigns their roles.
BookingsCreates bookings.
Telematics device assignmentAssigns a telematics device your organisation already owns to a vehicle.
GeofencesCreates geofences.
Onboarding progressCan read your setup progress, mark the review-dashboard step or checklist items as complete, and dismiss onboarding or the activation checklist if you ask it to.

Progress updates both ways

Whether you create a pool, vehicle, user, or booking through the assistant or through the wizard's own forms, the matching wizard step is ticked off. Assistant actions also tick off the activation checklist items: vehicle added, driver invited, first booking made, device assigned, and geofence set.

What the assistant won't do

Switching back to manual setup

You're never locked into one path. The setup wizard stays fully usable at any point: close the Assistant panel and keep working through the wizard's steps by hand, or mix and match: do some steps yourself and hand the rest to the assistant. Nothing about using the assistant removes or disables the manual steps.
