Dashcam video privacyBeta
What dashcams record, the video settings administrators control, the driver notice, and the access log.
This page is for organisation administrators and for drivers. It covers what the dashcams record, the privacy settings you control, and the notice drivers must acknowledge.
For a plain explanation to share with drivers, see Dashcams: what drivers need to know.
What the camera records
- The road ahead is always recorded to the camera's memory card. It stays in the vehicle unless someone asks for it or a safety event happens.
- The cabin (driver-facing camera) is recorded only if you turn it on. It is off by default.
- Driver-state monitoring (DSM) warns about tiredness, distraction and phone use. It needs cabin recording.
- Audio is off by default.
- Safety events send a short clip or snapshots to Vectis.
- Footage on request and live view are described in Dashcam footage and live view.
Every view, download, share and live session is logged.
For administrators
You need permission to manage video settings (video.settings.manage). Go to Settings → Video. The page has four parts: Recording, Driver notice, Access log and Live sessions.
Choosing what is recorded
- Open Settings → Video. In Recording, set the switches:
- Record the cabin: the driver-facing camera. Off by default. Seeing cabin video needs its own permission.
- Driver-state monitoring (DSM): needs cabin recording. Turning DSM on turns cabin recording on. Turning cabin recording off turns DSM off.
- Record audio: off by default. A warning appears when you turn it on.
- Allow live view: lets permitted users watch a camera live. Every session is logged.
- Select Save settings.
You'll see "Video settings saved."
Cameras are set up on site with Teltonika's TCT tool, so each of these changes also needs the matching TCT profile on every camera. See the next section.
Setting limits and retention
In the same Recording panel:
| Setting | What it does |
|---|---|
| Keep event clips (days) | How long safety-event clips are kept. 1 to 730. Default 90 |
| Keep requested footage (days) | How long requested footage is kept. 1 to 730. Default 30 |
| Monthly footage budget (MB) | Requests that would go over it need a manager's approval. Default 2048 |
| Main stream (kbit/s) | The full-quality bitrate, used for data estimates. Should match the TCT profile |
| Sub stream (kbit/s) | The smaller stream's bitrate, used for estimates |
| Longest request (seconds) | The most footage one request can cover, per channel |
| Wait for a sleeping camera (hours) | How long a request waits for a vehicle to power on before it expires |
| Live view ends when idle (seconds) | Live view stops after this long without interaction. 30 to 3600 |
| Longest live view (seconds) | Live view stops after this long. 60 to 7200 |
Select Save settings when done.
Clips linked to a crash, or on legal hold, are kept longer and deleted when the hold ends.
Checking the cameras match the settings
Under Recording, the box TCT profile needed (saved settings) lists the profile each camera model must have, for example the model name followed by the profile name. Import that profile on each camera in TCT. The bitrates above should match it.
Publishing the driver notice
Drivers must acknowledge your notice before they can book or check out a camera-fitted vehicle. Until you publish your own, Vectis uses its template (the badge reads Vectis template in force). The template is shown in Dashcams: what drivers need to know.
Open the notice
Open Settings → Video and find Driver notice.
Edit the text
Edit the Title (up to 200 characters) and the Notice text (20 to 20,000 characters). Start from the template, then check it with your own adviser.
Set the start date
Set Cameras start recording from. In NSW and the ACT, workers must get written notice at least 14 days before camera surveillance starts. The page warns you if the date is sooner than that.
Publish
Select Publish new version.
You'll see "Version N published. Drivers will be asked to acknowledge it before their next booking or checkout of a camera-fitted vehicle."
Publishing a change asks every driver to acknowledge again. Earlier versions stay listed under Published versions.
Before a vehicle goes back into service, check that the notice is published.
Seeing who has viewed video
- Open Settings → Video and scroll to Access log.
- Each row shows when, who, what (Viewed, Downloaded, Shared or Live view, with the channel), the vehicle, the Driver in video and any reason given.
- Use Previous and Next to page through.
Seeing live sessions
- Open Settings → Video and scroll to Live sessions.
- Each row shows when it started, who watched, the vehicle, the channel and quality (full or smaller), how long they Watched, and how it Ended: Stopped, Idle, Time limit, No video or Connection lost.
A session still going shows "watching".
For drivers
Acknowledging the notice
Before you book or check out a vehicle with a dashcam, the Vectis app shows your organisation's video notice.
- Read the notice.
- Tap I have read this notice.
You'll carry on with your booking or checkout. You only do this once per version of the notice. If your organisation publishes a change, you'll be asked again. Tap Cancel to leave without acknowledging. You can't book or check out the vehicle until you acknowledge.
If you skip the screen and try the booking another way, you'll see: "This vehicle has a dashcam. Read and acknowledge your organisation's video notice before booking or checking it out."
Seeing your own events
- In the Vectis app, open Profile → My driving.
- Open an event to see its details, clip and snapshots. Tap Play clip or Show snapshot to view them. Viewing is logged.
Each event says whether your fleet manager has reviewed it, added coaching, or dismissed it as a false positive (which doesn't count against your score). You can't see other drivers' events.
In-cabin video
Video from the driver-facing camera needs its own permission, even for your own clips. If you don't have it, in-cabin files aren't shown. This is on purpose: it is the most sensitive video the system holds, and very few people have it.
Your rights
To ask for footage about you, or for a correction, see Dashcams: what drivers need to know.
Troubleshooting
| What you see | What to do |
|---|---|
| "The notice has changed since it was shown. Read the current notice and acknowledge it." | Your organisation published a new version. Read it and acknowledge again. |
| "The notice needs a title of up to 200 characters." | Shorten the title. |
| "The notice text must be between 20 and 20,000 characters." | Adjust the length of the notice. |
| "Couldn't load video settings." | Refresh. You need permission to manage video settings to open this page. |
| No Video in Settings | You need permission to manage video settings. Ask a system administrator. |
| The access log says "No one has viewed video yet." | Nothing has been viewed. Entries appear as soon as someone plays a clip. |
| The Live button never appears | Allow live view is off, or the user doesn't have permission to use live view. |
